Absenteeism rate formula
The standard employee absence rate formula (also called the absenteeism rate formula or absence percentage formula) is:
Absenteeism rate (%) = Total days absent ÷ (Employees × Workdays in period) × 100
Equivalently: total absent days ÷ total scheduled workdays × 100 when you have already multiplied headcount into the denominator.
Worked example: 139 employees, 90 workdays each, 463 total absent days → scheduled workdays = 12,510 → rate = (463 ÷ 12,510) × 100 ≈ 3.7%. Use the calculator above for live results.

Monthly absenteeism rate formula
The monthly absenteeism rate formula uses the same math as quarterly or annual periods — only the date range changes. Sum unplanned absent days and scheduled workdays for the same month, then:
Monthly absenteeism rate (%) = Absent days in the month ÷ Scheduled workdays in the month × 100
Team example: 10 employees scheduled for 20 workdays each → 200 scheduled workdays. Five total absent days in the month → (5 ÷ 200) × 100 = 2.5%. Track the same calculation each month to spot flu season spikes or shift-specific patterns.

How to calculate absenteeism rate per day
Some ops teams track a daily absenteeism rate during flu season or peak retail weeks:
Daily rate (%) = Employees absent today ÷ Employees scheduled today × 100
Example: 6 absent out of 200 scheduled → 3% for that day. Daily snapshots are useful for coverage alerts; month-over-month rollups are better for HR planning and benchmarking.
What counts as an absence?
Unplanned vs planned time off
Counts: sick days, call-offs, no-shows, and other unplanned missed shifts (per your HR policy).
Usually excluded: vacation, holidays, and approved PTO — this US absenteeism view differs from some European Fehlzeiten reports that include all leave types. Document your rule and keep monthly reports comparable.
For shift teams, absence rate is an early signal of coverage gaps and overtime pressure — not a substitute for absence management software, but a quick KPI before you invest in tooling. Pair it with fair employee scheduling and honest time tracking.

The ~3.2% figure is the common HR planning reference for the day-based formula (also used by top SERP calculators). The Bureau of Labor Statistics also publishes a ~1.7% national figure for share of scheduled work time lost to absence in 2025 — a related but not identical metric. Benchmarks are planning guides, not laws. Compare yourself to your own trailing months and peer sites first; segment by shift before reacting to a single month above reference.

Absence rate vs absence frequency
Severity vs pattern
Absence rate (absenteeism %) measures how much scheduled time was lost — one employee out 10 days and ten employees out 1 day can produce the same rate.
Absence frequency counts how many separate absence events occurred (call-offs, spells). A high rate with low frequency often points to long illness; a moderate rate with high frequency may signal stress, disengagement, or scheduling friction. This calculator focuses on the day-based rate; track frequency separately in your HRIS or time system.
